Things to Consider When Choosing a Wedding Venue.

One of the things that I work with my clients on is choosing the right venue to hold their wedding, what they think they want, might not be what they end up choosing, because the reality doesn't fit what they really want for their big day.


Here's my things to consider when choosing a wedding venue.


1. Budget

  • Overall Cost: Ensure the venue fits within your budget, considering both rental fees and additional costs such as catering, decor, and service charges.

  • Payment Plans: Check if the venue offers payment plans or requires full payment upfront.

  • Hidden Fees: Be aware of any hidden fees, such as corkage, overtime, or setup/breakdown fees.


2. Location

  • Accessibility: The venue should be easily accessible for your guests, considering both local and out-of-town attendees.

  • Transportation: Consider the availability of parking, public transportation, or shuttle services.

  • Proximity to Accommodation: Ensure there are nearby accommodations for guests who might need to stay overnight.


3. Capacity

  • Guest List: Choose a venue that comfortably accommodates your guest count. Overcrowding can lead to discomfort.

  • Room Layout: Consider the layout for different parts of the event, such as ceremony, cocktail hour, and reception, to ensure smooth flow and comfort.


4. Availability

  • Dates: Check if your desired dates are available and if there are any restrictions on times or days of the week.

  • Flexibility: Some venues have more flexible date options than others, especially during off-peak seasons.


5. Style and Ambiance

  • Aesthetic: The venue should match the theme and style of your wedding (e.g., rustic, elegant, modern).

  • Décor: Assess how much additional decoration is needed to achieve your desired look and whether the venue provides any in-house décor options.


6. Services and Amenities

  • Catering: Determine if the venue provides in-house catering or if you need to hire an external caterer.

  • Vendor Restrictions: Check if the venue has a list of preferred vendors or if you can bring in your own.

  • Included Services: Look for included services like event planning assistance, setup and cleanup, and equipment (tables, chairs, linens, etc.).


7. Logistics

  • Weather Contingency: For outdoor venues, ensure there is a suitable indoor option in case of bad weather.

  • Acoustics and Sound: Assess the venue’s acoustics and any sound restrictions, especially for live music or DJs.

  • Lighting: Ensure the venue has adequate lighting for different parts of the day and evening events.


8. Legal and Permits

  • Licensing: Ensure the venue has the necessary licenses and permits for hosting weddings and serving alcohol.

  • Insurance: Check if the venue requires or offers event insurance and what it covers.


9. Personal Touch

  • Customizability: Determine how much you can personalize the venue to fit your vision.

  • Exclusivity: Some venues host multiple events simultaneously, so check if yours will be the only event or if privacy might be an issue.


10. Reviews and Reputation

  • References: Read reviews from other couples who have used the venue and ask for references if necessary.

  • Reputation: A venue with a strong reputation for customer service and event success can provide peace of mind.
